How to Set Up SMS Reminders in Wiiz: Step-by-Step Guide

Step by step: enabling reminders, send times, templates in Greek and English, and topping up the SMS wallet

Setting up SMS reminders in Wiiz is done once and takes a few minutes: go to Settings → Reminders, define how many hours before the appointment the message should go out, adapt the template in Greek and/or English, and top up the SMS wallet. From then on, every new appointment automatically gets its reminder — from €0.06 per SMS, with no monthly fee.

Before You Start

You will need a free Wiiz account with your business and at least one service in the calendar. The platform has no monthly fee and no commission — the only cost is the SMS you send.

Step 1: Settings → Reminders

Open the Wiiz app or the web dashboard and go to Settings → Reminders. Everything lives there: activation, send times and message templates. Enable SMS reminders with the toggle.

Step 2: Define How Many Hours Before the SMS Goes Out

Choose how many hours before the appointment the reminder should be sent — the most common choice is 24 hours. You can also add a second reminder, e.g. 2 hours before, for last-minute no-shows:

  • Hair salons and barbershops: 24 hours before.
  • Beauty centers and spas: 24 + 2 hours before for long treatments.
  • Medical practices: 48 hours before, so the waitlist has time.
  • Gyms: a few hours before the session.

Step 3: Adapt the Template in Greek and English

Wiiz automatically fills in the name, date, time and service in every message. You define the text around them — once, in Greek, English or both, so each customer receives the message in their language. Keep it under 160 characters to be billed as 1 SMS. Step 4: Top Up the SMS Wallet

SMS are charged from a prepaid wallet: you top it up with the amount you want, and each sent message deducts from €0.06. You can also enable auto-recharge, so the balance never hits zero and reminders never stop. No subscription — the amount you load is all you pay.

Step 5: Check That Everything Works

  • Book a test appointment to your own mobile for the next day.
  • Confirm the reminder arrived at the time you set and the details were filled in correctly.
  • Check the wallet balance — you will see the charge for the test SMS.

That's it. From here on, no action is needed: every appointment — whether you enter it or the customer books online — schedules its reminders automatically. Customers with the Wiiz app receive free push notifications instead of SMS.

How long does the reminder setup take?

A few minutes. Activation, send-time selection, template adjustment and wallet top-up — all from Settings → Reminders. No technical knowledge or API integration required.

Can I have a different message in Greek and English?

Yes. You define a template in both languages, so Greek-speaking customers receive a Greek message and international customers an English one.

What happens if the SMS wallet runs out?

If the balance reaches zero, SMS stop being sent until the next top-up. That is why enabling auto-recharge is worthwhile — it refills the wallet as soon as it drops below the threshold you set.

Do the settings also apply to appointments booked online?

Yes. Reminders apply to every appointment in your calendar, whether you entered it or the customer booked online or through the app. A booking through the app costs €0.10 and includes 1 free SMS.

Can I change the send times later?

Whenever you like, at no cost. Changes apply to appointments scheduled from that moment on.
